PitchWhip

Guide

Team admin guide.

Eight steps to set PitchWhip up for a sales team, in the order that works. The account owner is the person who bought the seats and is always an admin. For how each feature works day to day, see the full guide.

1. Buy seats and assign them

Where: Pricing to buy, then Dashboard → Team → Seats.

Choose how many seats you need on the pricing page and check out once. Every seat is $49 a month, or $490 a year, at any quantity. All seats sit on one subscription with one Lemon Squeezy invoice, and reps never need their own subscription.

Each seat adds 50 reveal credits a month to one shared pool. Later, press Change how many seats you pay for on the Seats card: up to 25 from the dashboard. Extra seats are charged pro rata on your next renewal. Need more than 25? Email hello@pitchwhip.com.

2. Invite your reps

Where: Dashboard → Team → Seats.

Enter a rep’s email, and their name if you like, then press Add seat. PitchWhip shows you a seat key once: there is no invite email yet, so send it to them with the install link. They add PitchWhip to Chrome and paste the key into its settings, exactly like a licence key.

  • A seat is a place you pay for. The Seats card shows how many are used, and each person on one is listed as Team seat. Suspend stops their key straight away and can be undone; Remove is permanent, and their call history stays on your account.
  • Members on their own licence joined before you bought seats. They pay for themselves and are listed as Own licence.
  • In People in this account, the role Member means someone who is not an admin. If more people are using PitchWhip than you pay for, the Seats card says so and gives you time to fix it.

3. Make co-admins

Where: Dashboard → Team → People in this account.

An account can have more than one admin. Press Make admin beside any active person and confirm. A co-admin sees everyone on the account and the team’s numbers, and can make other people admins.

Billing, seats and the account’s settings stay with the account owner. That includes buying, adding or removing seats, CRM connections, calling settings and playing other people’s recordings. Nobody can change their own role, and the account owner is always an admin. Recent role changes are listed under the card.

4. Connect HubSpot or Salesforce

Where: Dashboard → Integrations → HubSpot or Salesforce.

The account owner connects HubSpot or Salesforce once for the whole team, with no keys to copy. For Salesforce, a Salesforce admin first installs the PitchWhip package. Logged calls then sync to the matching contact, with a follow-up task on the callback date.

Step-by-step setup for HubSpot, Salesforce and Google Sheets is in the integration setup guides. Google Sheets is different: each rep connects their own Google account in the extension.

5. Switch on calling and buy minutes

Where: The extension’s Settings, then Dashboard → Billing.

  • Accept the calling notice. The account owner accepts it once in Settings → Calling, then each rep sets up calling in the extension’s Settings.
  • Choose monthly minutes. Choose monthly minutes in Dashboard → Billing: 100, 300 or 1,000 minutes a month. Your account’s minutes are one pool every rep calls from, and unused minutes don’t roll over. Only connected time uses minutes. Prices are on the pricing page.
  • Where you can call. The UK, the US and Canada, EU countries, Australia and New Zealand. Only supported destinations can be called, and country restrictions, daily limits and a maximum call length apply.
  • Phone numbers. Each active seat can choose one UK or US PitchWhip number in Settings → Phone numbers, subject to business and network checks and availability. US numbers need a company check and aren’t available in California. A rep can also call from a caller ID they have verified, such as their own mobile.
  • Approval. Calling needs an eligible paid account. Licences bought from 5 October 2026 set up calling themselves; some existing accounts need approval, and we set those up by hand. If setup is unavailable, contact us.

PitchWhip calls run over the internet. If your power or internet fails, or your browser is closed, you cannot call 999 or 112 from PitchWhip, so keep another phone to hand. 999 calls work only from a PitchWhip number with a registered address, and the control room sees that address, so update it in Settings when you work somewhere else.

6. Decide on call recording

Where: The calling settings in the PitchWhip extension.

Recording is available for calls through PitchWhip and is off until the account owner turns it on. Choose automatic recording from the moment a call is answered, or manual recording that begins when the rep presses Start recording.

Reps choose whether the person they call hears an automated announcement that the call is being recorded, unless you require it on every call. Recordings are deleted after 90 days unless you choose 1 year, 2 years or to keep them until deleted. Saved transcripts, where available, are a separate switch, off by default.

Recordings can be played by the rep and by the account owner, who pays for the minutes. Nobody else on the team can. The calling section of the guide has the full rules.

7. Set up sequence senders

Where: Dashboard → Integrations → Sending mailbox or Campaign domain.

Email steps in a sequence send themselves, from the rep’s own connected mailbox or from your campaign domain. Each rep connects their mailbox under Sending mailbox: Gmail, Microsoft 365 or another mail server. Mailbox emails are plain text, for existing customers, inbound enquiries and people who have replied.

For cold contacts, verify a subdomain under Campaign domain by adding the DNS records it shows. When an admin adds people to a sequence, they can choose which rep works them: that rep’s mailbox sends the emails. The sequences section of the guide explains both senders.

8. Find your reps' stats

Where: Dashboard → Team, Overview, Calls and Sequences.

The Team page opens with a table of each rep’s calls, connects, meetings booked, callbacks owed and best hour. On Overview and Calls, switch to the whole team or pick one rep. Only admins can see the whole team; each rep sees their own.

The account owner can play a rep’s recorded call from the call log on the Calls page. Every sequence report splits results by rep. For anything this guide does not answer, write to hello@pitchwhip.com.
